If you read enough "founder productivity" lists you'll end up with 27 tools and zero output. The opposite of leverage. Here's the stack we've kept across multiple businesses — short, defensible, and battle-tested.
The non-negotiables
Notion — the brain
One workspace, three top-level databases: Projects, Tasks, Content. Avoid the temptation to template-build for two weeks. Open it daily, write in it daily, refactor monthly.
Linear — the execution layer
For anything ship-related, Linear is dramatically faster than Notion or Asana. Cycles, not deadlines. Ten-minute morning triage.
Superhuman — email as a closed loop
The first email tool that's worth the price. Inbox-zero by 9am via shortcuts and snooze. If $30/mo isn't worth your reply speed, you're not selling enough yet — that's the real fix.
Loom — replace 80% of your meetings
The single biggest meeting reducer of the last 5 years. Default to a 3-minute Loom over a 30-minute call.
The creator-specific stack
- CapCut for short-form video.
- Descript for podcasts and long-form video.
- Riverside for high-quality remote interviews.
- ConvertKit / Klaviyo for email lists.
- Beehiiv if you're starting a media-style newsletter.
The commerce stack
- Shopify for storefront.
- Klaviyo for email + SMS flows.
- ShipStation or Pirate Ship for fulfillment.
- Triple Whale once you're spending $5k+/mo on ads.
The financial stack
- Mercury or Relay for banking.
- Wave (free) or QuickBooks Online for bookkeeping.
- Stripe for payments.
- Found if you're a sole prop wanting taxes auto-set-aside.
What we cut in 2025
- Slack for solo work — Discord wins on cost; iMessage wins on attention.
- Dropbox — Google Drive is enough.
- 3 different note apps — collapsed to Notion + Apple Notes only.
- Calendly — replaced with Cal.com for the better routing logic.
- Multiple AI subscriptions — stuck with one frontier model + one fast cheap model.
How to actually adopt a new tool
The 7-day rule: if a tool isn't open daily by day 7, cancel it before the trial ends. No exceptions.
When you do keep one, force it into the workflow by:
- Removing the legacy tool's icon from your dock.
- Setting a calendar block to migrate the last project.
- Telling your team / clients to only communicate in the new tool for a week.
Tool-stacking only works if old tools die.
The tiniest upgrades that matter most
- A keyboard with arrow keys you don't fight.
- A second monitor only if you're a developer or designer.
- A second SIM/eSIM for the business line.
- Apple Focus modes set up for "Deep Work," "Calls," and "Off."
The principle
The right stack disappears. You stop thinking about it. You move from tool-tweaking to operator-mode. If you're still spending Sundays organizing your Notion, you're not productive — you're procrastinating with extra steps.
